Records are indexed and grouped. Binders, drawers, cabinets, computer
disks and tapes, etc., containing records are labeled as needed with
identification of their content. Records shall be stored in such a method as
to maintain their legibility throughout their required retention period.
Poly Reaction records are normally stored by the Poly Reaction
department. Records are stored in a dry and clean location. Records and
other quality documents may not be stored in private desk drawers or other
obscure locations that are not generally known. Access to records is
controlled and is the responsibility of the owning department.
Electronic records are regularly backed up.
Disposition of records after their required retention period shall be
according to classification of the record. Any record marked "Confidential"
shall be physically destroyed before disposal off site. Any record that is not
identified as "Confidential" may be disposed of in any manner that will
move it off site permanently.
