QA Inspection Booking Guideline
Please send all inspection booking requests by using the attached “Inspection Advise Form” and the fully completed form with signed PI by email to Bobby Liu thru cnqahl@wal-mart.com (contact phone number: 021-33973293).
You will then be contacted by either our Global Sourcing Team or Intertek to confirm your requested schedule within two (2) working days prior to the requested inspection date. Please be aware and adhere to the following:
• All types of inspection booking must be made at least five (5) working days before the requested inspection date. If less than five (5) working days, requested inspection dates may not be guaranteed and the inspection fee for a short notice inspection will be charged to the supplier.
• Any changes to the booked inspection less than one (1) full working day before the scheduled date will result in a late cancellation charge of US$200 (note: five working days booking rule applies to the revised booking date)
• All bookings, cancellations or rescheduling must be made by email. Telephone applications will not be accepted.
• Any changes of the booking schedule or cancellations must be made by email to
cnqahl@wal-mart.com.
• Inspection requests received after 12:00 noon will only be guaranteed to be processed on the following working day.
• No more than two (2) inspection trips per week for one factory will be paid for by Walmart, any additional first time inspections will be paid by the supplier.
• Shipments must be 100% made and 100% packed in export master cartons.
• ‘Inspection reference samples’ and ‘Technical files’ must be available at the factory for use by the inspection at the time of inspection; otherwise, the inspection will be aborted.
• Inspection accept/reject levels:
o Hardlines – Normal level I, 0% Critical, 1.5% Major, 4.0% Minor
o Clothing – Normal level I, 0% Critical, 2.5% Major, 4.0% Minor, 6.5% Major + Minor
Important – In the following situations, the supplier (not Walmart) will pay for the final inspection cost:
• Late bookings (i.e. less than 5 working days)
• Late booking cancellation (i.e. less than 1 full day’s notice)
• Re-inspection after failed inspections
• Inspections – following an aborted inspection trip
o Production found to be a different location to the one specified by the supplier
o Less than 100% made and packed
o Inspection reference sample and technical file not available at the time of inspection
o Unacceptable factory behavior
Please remember inspection is Walmart’s check to satisfy ourselves that product meets our customer’s expectations and that is the suppliers responsibility to ensure the product shipped are safe, legal, fit to purpose and meet Walmart requirements.
QA Inspection Result Update
Due to Walmart Retail Link is not available for Massmart, please fill out and return the QC Inspection Result Spreadsheet as enclosed alone with the pass QC inspection report to GS sourcing team at least 3 workings before ETD.
